The Master Lead Tracker
A simple, visual pipeline. See who is overdue, who is due today and who is waiting, on one screen.
Stop letting warm leads go quiet in your inbox. The Lead Machine is the minimum viable system for solo founders to capture, track and close leads without the CRM headache.
Planned launch price $29. One-time. No subscription. Nothing is for sale yet.
You don’t need a monthly CRM subscription. You need a way to stop forgetting people.
The Lead Machine gives you a tracker, the messages to send, a seven-step rhythm and a simple way to bring leads in from a Google Sheet. From “just checking in” to “where do I pay?”.
Default gaps: day 2, 5, 9, 14, 21, 30 and 45. You can change them in Settings.
A short check-in. A yes or no is fine.
One helpful detail or link.
Offer two simple next steps to choose from.
Is this still a priority? A no is a useful answer.
No pressure. Check back later?
One fresh detail or example.
Close the loop kindly. Then the sequence finishes.
Once a lead replies, it switches to a check-in every 3 days. It shows what is due each time you open it and does not email you. The calendar export puts due follow-ups on your phone.
Put in your own numbers. Nothing is stored or sent. You get a rough ceiling, not a forecast.
Each month, about
6 leads go quiet
Win back just 1 in 10 of those sales and that is about $360 a year. An example, not a promise.
A ceiling built from your own guesses. Nobody recovers all of it, and The Lead Machine does not promise to recover any.
One tracker, the messages, the rhythm, a way to bring leads in and reminders on your phone. Each card says where it stands today.
A simple, visual pipeline. See who is overdue, who is due today and who is waiting, on one screen.
One message for each step of the rhythm. They fill in the name and topic. Edit the wording until it sounds like you.
Three fields. The follow-up dates set themselves.
Export what is due as a calendar file and open it on your phone. It is a snapshot, so export again after you make changes.
Put a simple form on your site or share the link. Answers land in your own Google Sheet. Copy the rows into the app with Import. No automation tool needed.
Import is a manual step. The app never connects to your Google account.
No account. Nothing is uploaded unless you turn on the optional Make Sync bonus. Download a backup and restore it any time. It lives in one browser and does not sync between devices.
The core product works on its own. These make it quicker to set up, or take it deeper.
Four ready-made Make scenarios. Label an email in Gmail and it lands in your Sheet. Get a new-lead alert, a morning list of who is due and a Monday summary. They run from the app through Make Sync, which stays off until you turn it on. Make has a free plan, so check its current limits. None of them sends your follow-ups.
What to do when a lead goes quiet: when to push, when to wait and when to let it go. Short and plain.
A short quick-start guide and a 5-minute screen walkthrough, so you can set it up and send your first follow-up the same day.
A deeper library for the harder moments, written to copy, edit and send. Think of a proposal that got no reply, a price push-back, a “send me more info” that goes nowhere, and a polite way to close the file.
Rows copied from a Google Sheet arrive tab-separated. The first row must be headers. Duplicates are skipped, and you see a preview before anything is added.
Example leads only. Nothing you type here is saved or sent anywhere. The demo runs the planned 7-step rhythm.
Each one comes from what the tool does, so you can check it for yourself in the demo above.
The Today screen lists who is overdue, who is due today and who is coming up.
The rhythm schedules seven follow-ups over 45 days, then closes the loop kindly.
Every step has a message that fills in the name and the topic. You edit and send.
Form answers land in your Sheet. Import brings them into the app.
My own numbers come after I have used it on my own leads for 7 days. They will go here.
The Lead Machine is still a prototype. Early readers get the first look and help decide what goes in. Join the list on Substack, then reply and tell me what you would want it to do.
Join the early list →PhD in Management Sciences. I research NLP and AI-driven marketing, and I build agents with n8n, LangGraph, RAG and Python. This tool is the quiet, simple one.
You read it and you send every message. A human stays in the loop.
Nothing is uploaded unless you turn on the optional Make Sync bonus, and then only to your own Make account. Download a backup now and then. It does not sync between devices.
Import is manual and the app never connects to your Google account.
Built for one person who needs to move fast, not a team.
No. It is a streamlined system built for speed. You open it, see who is due, copy the message and send it.
If you can use a spreadsheet, you can use this.
Free CRMs are usually built for teams. This is built for a solo founder who needs to move fast and does not want to learn a new platform first.
In your own browser. Nothing is uploaded unless you turn on the optional Make Sync bonus. Because of that, clearing your browser data erases your leads, so the tool has a backup button for you to use.
No. It lives in one browser and does not sync between devices. The calendar export puts your due follow-ups on your phone.
Not for the tracker. The core works with a Google Sheet and the Import button by hand. The Make integrations are an included bonus that remove those manual steps. You need a Make account, and Make has a free plan, so check its current limits. I am building for Make only at launch.
An optional setting in the app. You paste your own Make link, and the app sends a small note each time you add or update a lead. It is off until you turn it on. The setup guide explains exactly what is sent.
An optional add-on with a deeper library of scripts for harder moments. It is sold separately from the tracker. The planned price is $19, one-time.
Not yet. It is in prototype. The planned launch price is $29, one-time, and the early list hears first when it opens.
Values are my own estimates of what each piece is worth. It has not been sold at these prices. The Script Pack is a separate optional add-on at a planned $19. Its contents are confirmed at launch.
